HRS Toolbox was created in 2023 by an HR manager at a mid-sized IT company in Bangalore who had spent five years answering the same question from employees every month: “Why is my take-home salary so different from my CTC?” The calculation involves PF, ESI, professional tax, income tax, and various allowance structures โ€” and no matter how many times she explained it, the next month brought the same questions from new joiners.

She built the Salary Calculator as an internal tool for her company, allowing employees to enter their CTC and see the exact breakdown of deductions, components, and final take-home pay. When she shared it with HR peers at an industry meetup, the reaction was unanimous: every HR team needs this tool, especially at small companies that process payroll manually without enterprise HR software.

Tools Built from Real HR Pain Points

Every calculator on HRS Toolbox addresses a specific problem that HR professionals encounter in their daily work. The Leave Balance Calculator was built because tracking leave accruals across earned leave, sick leave, and casual leave in Excel spreadsheets leads to errors that cause employee grievances. The Employee Cost Calculator exists because hiring managers and finance teams need to understand the true cost of a new hire beyond the CTC โ€” and that cost is always 20-30% higher than the CTC once employer PF, ESI, insurance, and infrastructure costs are factored in.

The Overtime Calculator was added after feedback from HR managers in manufacturing and hospitality, where shift work and overtime calculations are complex and error-prone. The Bonus Calculator helps companies estimate their statutory and performance bonus liabilities for budget planning.

For Small Businesses and Startups

Enterprise companies use Zoho Payroll, GreytHR, or SAP SuccessFactors for these calculations. But India has millions of small businesses and startups where the HR function is handled by the founder, an office manager, or a single HR generalist who manages everything from recruitment to payroll in spreadsheets. HRS Toolbox gives these professionals accurate calculation tools without requiring an expensive software subscription.

Accuracy and Compliance

Payroll calculations directly affect people’s livelihoods โ€” a wrong PF deduction creates compliance issues with EPFO, an incorrect tax calculation leads to penalties during ITR filing. Our calculators use formulas aligned with current Indian labor laws, EPF Act provisions, ESI Act rates, and income tax rules for the applicable assessment year. The formulas are reviewed by a practicing chartered accountant whenever tax rates or compliance rules change.

The Team

HRS Toolbox is maintained by the original creator (an HR professional with 8 years of experience), a web developer who builds the tools, and a CA who verifies all financial calculations. We are all based in Bangalore and understand the Indian HR and payroll landscape firsthand.
